Local Grantmaking
The program associate will join the Foundation’s Local Grantmaking team. This team is charged with carrying out the Foundation’s grantmaking in the five counties (San Mateo, Santa Clara, Santa Cruz, Monterey, and San Benito) in which the Foundation has a special focus. Grants are made in a wide variety of areas including the arts, food banks and homeless shelters for families with children, after-school and birth to three programs, conservation and science, and family planning and adolescent reproductive health services. The team is also responsible for staffing and processing Special Opportunities grants that are overseen by the Vice President and Director of Programs. Overall, the team is responsible for processing a large volume of grants (an estimated 175 grants per year) which will total $21.5 million in 2012. This position will report to the Program Operations Coordinator for Local Grantmaking and Special Opportunities and is located in Los Altos, CA.

Job Responsibilities
• Coordinates review and processing of Local Grantmaking and Special Opportunities grant portfolio from invitation of a proposal through the post-award process
• Organizes, maintains, and updates electronic grant files
• Responds to phone and written inquiries about grants
• Performs preliminary review of letters of inquiry, grant applications and related materials for completeness and relevance
• Composes general correspondence, memos, grant summaries, and other documents
• Proofreads and corrects documents and Web site materials
• Maintains grant and report tracking systems
• Coordinates submission of materials for quarterly Committee and Board meetings
• Assists with special events and supports Foundation hosted meetings
• Coordinates schedules, tracks delegated assignments, and monitors deadlines
• Organizes and schedules meetings and travel
• Assembles relevant information for correspondence, reports, and meetings
• Takes notes and keeps records of selected meetings
• Participates in teams to produce collaborative work products and improve processes
• Processes expenses, invoices, and contracts
• Other projects to assist the Local Grantmaking team, as assigned

• Excellent grasp of technology and computer skills, including working knowledge of Microsoft Office Suite. Database experience is desired.

Physical Demands
Candidate must have the ability to communicate via voice telephone, read and understand written communication, and generate written communication manually and using a computer. Candidate must also have the ability to sit at a desk for 2-3 hours at a time, lift and move documents and supplies not to exceed 25 lbs., and bend to file and retrieve documents.

Education and Experience
College degree or equivalent education and work experience. Minimum of three to five years of administrative experience. Experience in the local nonprofit sector is preferred.

Benefits and Compensation
The Foundation offers an excellent benefits package and a salary that is commensurate with experience. The salary range is $45,000 (minimum); $56,000 (midpoint); and $67,000 (maximum).
